Determining a Correspondence Address – Case Study

Effective delivery of correspondence is crucial for the efficient handling of legal matters. Lack of a current address can significantly hinder this process. In this article, we will discuss an example of when clients use this type of service. A client approached us to determine the correspondence address of a certain person. They did not have much information, possessing only a photo and the person’s first name. The woman’s address, which we were to determine, was needed for inheritance purposes.

Social Media Analysis

With only the person’s first name and photo, we began by thoroughly searching social media platforms. The name was distinctive enough that we quickly identified the sought person’s account. On the profile, we found a surname, so we now had three key pieces of information.

Checking Official CEiDG and KRS Registers

There is a possibility of determining the address through the CEiDG register, but no one with the data we had was running a business. The next step was to check the KRS register. There, we found four people with the same first and last name, but at this point, we could not yet determine which one was correct.

On the social media platform, we found posts from our search subject’s friends with birthday wishes. By analyzing the comments, we found information on which birthday it was. This way, we were able to determine the first six digits of the PESEL number.

Matching the Person in KRS Registers

With such a set of information, we could match the appropriate person from those found in the KRS register. It turned out that the sought woman was associated with four companies registered in the National Court Register, and in each, she held managerial positions.

The next step was to check the companies’ registration documents. There are two ways to conduct such an analysis. One can check the registration documents on the government Portal of Court Registers or call the court where the company is registered and request access to the files. Both methods have advantages and disadvantages. The disadvantage of the PRS is that not all company documents have been digitized and are unavailable online. As for physical registers, they are mostly complete, but if the company has many documents, searching through them takes more time.

Verification of the Correspondence Address

In the registration documents, one should find a statement from a board member regarding the correspondence address. In this case, the company’s records were available in online registers. Knowing from when the sought person became a board member, it was clear in which documents we should search. Thanks to this, it was relatively quick to find the letter with the correspondence address. However, this was only a statement, and the found address still needed to be confirmed. At this point, we involved our team of detectives.

Collaboration with a Detective

In such a situation, detectives can operate in two ways. The first is to observe the found address. The second way is for the detective to create a plausible story to obtain information from neighbors about whether the person lives at the given address. For example, they can pose as a courier or postal worker, food delivery person, or administrative worker. In such a case, the detective must be creative and imaginative so that the role they adopt is credible. They must be prepared for various questions and situations well enough to avoid revealing that they are a detective. Sometimes there are situations where the client gives free rein and says it is permissible to ask directly whether the person lives nearby.

Summary

Determining an address requires close cooperation between the analyst and the detective. This process does not end with finding the address in documents, even official and registered ones. To be completely sure that the given address is current and correct, additional confirmation and verification of information from various sources are necessary. Only then can one confidently inform the client that the address has not only been determined but also confirmed, ensuring effectiveness in further legal and operational actions.
